New school year: update when it's time

New school year: update when it's time

Every child has one school profile in patchio, permanently – even across a change of school. What changes with the school year, you update once a year: class, school type and subjects.

Why patchio doesn't just count up on its own

Decisions hang on the change of school year that only you can make: what's the new class called? Is it still the same school type? Which subjects fall away, which are added? That's why patchio doesn't bump the school year without asking – it would otherwise change the class, subject list and grade assignment without anyone having looked.

Instead, patchio speaks up once the new school year has started in your region.

The note in the School area

If the school profile still shows the old school year while the new one has already started, a note appears at the top of the School area – on every sub-page (Overview, Today, Timetable, Subjects, Dates, Grades), not just one.

When it appears depends on your region's summer holidays: once they're over, the note comes up. For regions without recorded holiday data, 1 August applies instead. So patchio speaks up in early August in Schleswig-Holstein and not until mid-September in Bavaria – in each case, exactly when school really starts again.

You only see the note if you're also allowed to change something for this child (the “Manage school” permission, or the child themselves).

“Later” hides it – until the next school year, not just until the next page change. The browser remembers this on the device you clicked it on, so it can turn up again on your phone. You can update at any time after that yourself: School → Subjects → “New school year”.

What happens when you update

In the dialogue, you enter the new class, check the school type, and tick, for each subject, whether it stays. You can add new subjects straight from your region's subject library. After that:

  • Class and school type are updated in the school profile.
  • Kept subjects stay unchanged – with colour, abbreviation, teacher, room and weighting.
  • Removed subjects are archived, not deleted. They disappear from the selection lists but stay visible via “Show archived” in the Subjects tab.
  • Grades and dates stay fully intact. Every grade stays attached to its subject and keeps its own grading scale – on the Grades tab, you switch back to the old school year via the year selector.
  • The timetable stays as it is. Periods for archived subjects stay in it. You enter the new timetable afterwards on the Timetable tab, or get it via import.

If you've skipped a year

If you've missed an update, patchio doesn't stubbornly jump forward one year – it jumps straight to the current school year. New grades land in the right year that way; the old ones stay where they belong.

What else to check afterwards

  • Timetable – enter new periods, delete old ones; with A/B weeks, check the anchor if the count has shifted.
  • Grading scale – this often changes when the school type changes. It's in the school profile under “Settings”; old grades keep their existing scale.
  • Weighting – how tests, Schulaufgaben and oral grades count towards the average is set per subject in the Subjects tab.
  • School bag reminder – stays on, but follows the new timetable.
